This Privacy Policy explains how Baela ("Baela," "we," "us"), operated by Manoj Aryal, doing business as Baela, San Jose, California, USA, collects, uses, shares and protects your personal information when you use baela.ai and our services (the "Service"). The short version: we use your information to run your job search, we never sell it, and you can delete it anytime.
1. Information we collect
Information you give us
- Account details: name, email address, password (stored only as a secure hash), or the name and email shared by Google or Facebook when you sign in with them.
- Resume and career profile: your resume file and the information in it (work history, education, skills, links such as LinkedIn or portfolio), target roles, locations, salary expectations and job preferences.
- Application answers: answers you give to screening questions (for example, work authorization, sponsorship needs, notice period), which we save so we don't ask twice.
- Voluntary self-identification (optional): some employers ask about gender, race/ethnicity, veteran or disability status. These answers are optional, default to "decline to answer," are stored separately, and are used only to fill those questions when you choose to answer them.
- Communications: messages you send us, and recruiter emails you choose to have Baela track.
- Payment information: handled by our payment processor, Stripe. We never see or store your full card number.
Information created when you use Baela
- Jobs we match to you, the applications we submit (including the tailored resume, cover letter, answers and confirmation proof), and their status.
- Interview prep plans and mock interview responses you create.
- Basic usage and device information (pages visited, browser type, approximate location from IP address) used for security, fraud prevention and improving the Service.
We do not ask for or store Social Security numbers, driver's license or passport numbers, dates of birth, or bank account numbers.
2. How we use your information
- To provide the Service: find and score jobs, tailor your resume and cover letters, answer application questions, submit applications on your behalf, send recruiter emails and follow-ups you authorize, track responses and prepare you for interviews.
- To run your account: sign-in, billing, customer support and service emails (for example, subscription confirmations).
- To keep Baela safe: prevent fraud, abuse and duplicate accounts, and secure our systems.
- To improve Baela, using aggregated or de-identified information.
AI processing. We use AI models (provided by Anthropic) to read your resume and write tailored documents and answers. Your information is processed only to provide the Service to you. Your data is not used to train AI models.
3. How we share your information
We do not sell your personal information, and we do not share it for targeted advertising. We share information only:
- With employers you apply to, at your direction. When Baela applies for you, we send that employer (often through its hiring system, such as Greenhouse, Lever, Ashby or Workday) your resume, cover letter and application answers. Once submitted, the employer's use of that information is governed by its own privacy policy.
- With recruiters you contact through Baela, when you use outreach features.
- With service providers who help us run Baela under contracts that limit their use of your data: Supabase (database and sign-in), Cloudflare (website hosting and file storage), Google Cloud and Oracle Cloud (servers), Anthropic (AI processing), Stripe (payments), and Brevo, Resend, Mailjet and SMTP2GO (sending email).
- With a partner who referred you (for example, your school or a creator): only that you signed up and whether you subscribed, so we can pay referral commissions. Never your resume or applications.
- For legal reasons: if required by law, or to protect the rights, safety and security of our users, Baela or others.
- In a business transfer: if Baela is involved in a merger, acquisition or sale of assets, subject to this policy.
4. How long we keep information
- Account and profile data: while your account is active.
- Application history: while your account is active (older records may be archived but remain available to you).
- Screenshots of employers' confirmation pages: 30 days. The confirmation details (such as the employer's application number) stay with your application history.
- Job matches you didn't act on: 30 days.
- If you start without an account (upload a resume to see your jobs, but don't sign up): we keep what we read from your resume, not the file itself, and delete everything 30 days after you started.
- When you delete your account, we delete your personal information within 30 days, except where we must keep limited records (for example, payment records for tax purposes). Backups containing your data are overwritten within 35 days.
5. Your choices and rights
Wherever you live in the U.S., you can:
- Access and download your information (Settings → Privacy → Download my data).
- Correct your information in your profile at any time.
- Delete your account and data (Settings → Privacy → Delete my account, or see Data deletion).
- Opt out of marketing emails with the unsubscribe link in any marketing email.
We voluntarily honor the rights described in the California Consumer Privacy Act for all users. We do not sell or share personal information, and we do not use sensitive personal information for purposes other than providing the Service. California residents may also request information about disclosures for direct-marketing purposes (Cal. Civ. Code § 1798.83); we make no such disclosures. To make a request, email privacy@baela.ai. We will not discriminate against you for exercising your rights.
6. Do Not Track
Some browsers send "Do Not Track" signals. Because there is no common industry standard for these signals, Baela does not respond to them. We do not track you across other websites, and we do not use third-party advertising trackers.
7. Security
We use encryption in transit (HTTPS/TLS) and at rest, strict access controls so each user can only access their own data, multi-factor authentication on our administrative accounts, regular backups and security updates. No system is 100% secure. If a breach affects your personal information, we will notify you as required by law. Report security concerns to security@baela.ai.
8. Children
Baela is not intended for anyone under 16. We do not knowingly collect information from children under 13. If you believe a child has given us information, contact us and we will delete it.
9. Changes to this policy
We may update this policy. If we make material changes, we will notify you by email or in the app before they take effect. The "Last updated" date above shows when this policy last changed.
